Spreadsheet columns for imports and downloads

You can bring lists into the site from a spreadsheet, and download some lists out of it. This page is the reference for the column headings and formats. For the steps, see Import your member list and Import donors and past gifts.

Reading a pasted or uploaded list​

All three imports read text pasted into the box or a file you choose. They share these rules:

  • Separators. Columns may be separated by tabs (what you get when you copy cells from Excel or Google Sheets), commas, or semicolons (what some countries' spreadsheets save). The site works out which from the first line.
  • Quotes. A value containing the separator can be put in double quotes, and a double quote inside is written twice.
  • Headings are matched by name. Capital letters and extra spaces do not matter, the columns may be in any order, and columns the site does not know are ignored. The first heading that matches wins if two do.
  • Excel files. Save the spreadsheet as CSV first. A byte-order mark at the start of a file (which Excel adds) is ignored.
  • Up to 500 rows at a time; see Limits.
  • The import shows what it would do first, row by row, before anything is saved.

Members​

The only required column is the email address. Everything else is optional.

How the list is read:

  • First name and last name are joined with a space to make the name, if there is no single name column.
  • A list with no headings also works. The column that holds email addresses is found by looking for an @, and the first other column is taken as the name. If the first row has no address in that column but later rows do, it is treated as a heading row.
  • Section can be written as the section's code or its name (for example soprano or Soprano) and is matched to your sections in Site Settings, Member portal. Anything that is not one of your sections is kept as written.
  • Lengths. Phones are cut to 40 characters, an address to 500, a section to 60.
  • Each row is judged. A row with no address is "No email address", a bad address is "Not a valid email address", a member who exists already is "Already a member" and an address repeated in the list is "Same address as an earlier row". These rows are skipped; the others are added.

If the list has headings but no members, or no email addresses can be found, the page says "The list has a header row but no members under it." or "Couldn't find any email addresses. Each member needs one, in a column of its own."

Donors​

The first row must be headings.

  • A donor needs a name: a Name column, or First name and Last name, or an Organisation. A row that has only an organisation is added as an organisation; otherwise as a person.
  • Someone whose email address is already a donor's is skipped and left as they are ("Already a donor"). The same address twice in the list is "Same address as an earlier row".
  • If no heading is understood the page says "The headings need a column for the name (Name, or First name and Last name, or Organisation)." and lists the headings it found.

Gifts​

The first row must be headings.

How the values are read:

  • The donor is found by email address first, then by name. A person who is not yet a donor is added if the row gives a name. A row with an unknown email address and no name is refused.
  • Amount may be written 50, 1,250.00, $25 or 25.5: spaces, a currency sign ($, £, €) and thousands commas are ignored, and up to two decimals are allowed. Zero, negative amounts and anything else are refused ("Enter the amount as a number, such as 50 or 1,250.00").
  • Date may be written 2026-03-15, 2026/03/15, 15 March 2026 or Mar 15, 2026 (a month as a word, in full or its first three letters, with the day before or after it). A date made only of figures in another order, such as 03/04/2026, is refused, because it means the 3rd of April to one person and the 4th of March to another. The refusal reads "Enter the date it was received, as 2026-03-15 or 15 March 2026".
  • Method is understood as cash, cheque (also check), e-transfer (also anything with transfer, and interac), card (anything with card, and visa, mastercard, stripe), in kind (anything with kind). Anything else is "Other"; empty is left blank.
  • Campaign must match an existing campaign's name (not case-sensitive), or the row is refused with "There is no campaign called ...".
  • The gifts are recorded in the site's currency.

Downloads​

Downloaded files are CSV, opened by Excel, Numbers or Google Sheets. Text is saved so that accented names survive, and a cell that starts with =, +, - or @ has a quote put in front of it so a spreadsheet does not run it as a formula.

The ticket list​

From a concert in Ticketing, Download the list. One row per ticket, not per order.
